The privacy question
Why healthcare is different.
HIPAAPatient information is protected
Healthcare providers covered by HIPAA must protect patients’ health information. A vendor that creates, receives, keeps or transmits that information on a provider’s behalf is a “business associate” under the HIPAA rules, and the provider needs a written business associate agreement with it.
COSTCompliant setups cost more
HIPAA-compliant phone setups are possible, but they require additional infrastructure, safeguards and agreements to be built and maintained. That makes them more expensive than a standard AI Phone Agent.
OUR ADVICEKeep it simple
For most offices, the practical first step is an AI phone agent that handles information that reveals nothing private about a patient’s health, and hands everything else to your staff.
Where to start
Good fits, and what to keep with your staff.
Good fits for an AI phone agent
- Appointment reminders that give only the date, time and location, never the reason for the visit.
- Questions about hours, location, parking and directions.
- General office information, such as what to bring to a first visit.
- Answering after hours and pointing callers to the right next step, including your instructions for urgent situations.
Keep with your staff
- Symptoms, diagnoses, test results and treatment questions.
- Prescriptions and refills.
- Billing or insurance details about a patient’s care.
- Anything else about a specific patient’s health.
Beyond the phone
Other pieces that can help a busy front desk.
The same keep-it-simple rule applies: use them for general information and scheduling, not for patients’ health details.

Not legal advice
Check with your privacy officer before you launch.
This page explains our general approach and isn’t legal advice. Your practice’s privacy officer or attorney should confirm what fits your obligations, including what your reminders and call scripts may say. For background, see the HHS guidance on business associates and the definition in 45 CFR 160.103. If your office needs a HIPAA-compliant setup, ask us; we’ll talk through what it involves and what it costs.

Tell us how calls reach your office today.
We’ll talk through a simple, privacy-first starting point, and what a fuller setup would involve if you need one. The existing contact form is the place to start; please don’t include patient information.
